White & Case is a global law office established in 1901. The marketing department of Czech branch of White & Case has needed to manage their business transaction purposes more effectively. Very often, several separated lawyers have worked on the same transaction and nobody has known that. From this problem the want of a system for simple project information sharing arose.
Solution in MS Outlook
We have been developing a project management application for White & Case in MS Outlook. MS Outlook platform have been chosen because of its simplicity and comfort. The minimal staff training costs are also the advantage of our solution. The final system makes company project management more efficient. Each user has always an actual information about the projects in his MS Outlook in real-time. Each user can find his running projects in new “Projects” folder in MS Outlook. An access to “Projects” folder is secured by the different privileges. All project members are informed by email about new meetings, emails, tasks and notes related to the project. The company information sharing is simpler and more effectively due to our MS Outlook solution.
This system of project management in MS Outlook expands to other countries (Poland, Hong Kong, Belgium).
Technical background of project management in MS Outlook
The business transaction agenda is integrated into MS Outlook. Each business transaction is displayed in the new “Contact” type folder. After click, a modified form with the transaction details, meetings, contacts, documents, emails or tasks appears. MS SQL Server database has been chosen as data storage because of its stability and possibility of reporting. The project management application has been developed in Visual Basic 6.0 and lastly integrated into MS Outlook by force of Exchange Extension technology. The application has been distributed in the form of MSI install package which is an appropriate format for corporate deployment.
